How to create and schedule classes

Overview

A class is what students enroll into and what teachers are assigned to. Students enrolled in a class will appear on the class roster. Any assigned teachers will have access to classwork and the student roster.

Classes are scheduled by adding them to an academic schedule. A class has the following properties:

  • Name
  • Description
  • Start and end dates
  • Days of the week it meets
  • A start and end time (class period)
  • Meeting location
  • Max number of seats
  • Enrollment status (open, closed, full)
  • Visibility status (published or draft)
  • Grade levels
  • Assigned teachers
  • Grading system
  • Category
  • Fees
  • Automatic Discounts
  • Payment plans

How to Create a Class

  1. Go to Enrollment -> Classes
  1. Click Add class
  1. Fill out all required fields
  1. Click Create class

How to Edit a Class

  1. Click on the class you want to edit
  1. Click Edit class
  1. Make changes
  1. Click Save changes

Class Details

Name

The class name is shown to parents and students and is how the class is displayed on the schedule.

Class names don't have to be unique, but you should take care in how you name a class to help parents and students identity each class correctly.

Schedule

Select a schedule to assign the class to. Students registered for this schedule will be able to enroll in the class. The class will also appear on that schedule.

Category

A class category is required which is an additional way to identify what type of class it is. The class category is show on class description pages, class lists, invoice line items, and payment receipts. A class category can be anything you want (e.g. course, lab, study hall, etc.).

Class categories can be managed in Settings -> Class Categories

Teachers

To assign teachers, use the drop down search for teachers by name. You can assign more than one teacher to a class.

Only contacts with a Teacher role can be assigned to a class.

Grading System

The grading system is how the class will grade assignments. Grading systems can be set up by teachers in Settings -> Grading Systems which allows them to organize weighted categories. By default, when no grading system is selected, class assignments will be graded based on total points.

Meeting Information

This section is for when and where the class meets. Meeting formation includes which days of the week the class meets, a time period, and a location.

Time periods (class periods) can be created and managed in Settings -> Class Periods

Custom Dates

If the class start and end dates are different from the schedule's start and end dates, you can select the option Use custom dates to choose a custom start and end date for the class.

Enrollment Settings

Grade levels allowed

Select which grade levels can be enrolled into the class. Students not registered in a matching grade level, will not be able to enroll in the class. Admins can override a required grade level by enrolling the student manually using the admin dashboard.

Seats

Entering a maximum number of seats determines how many students can be enrolled before the class status is changed to Full. When a class is full, students can no longer enroll in the class. Admins can override this by manually enrolling the student using the admin dashboard.

Allow a la carte enrollment

Enabling this option lets families and students self-enroll using the parent portal. Disabling this feature means students will need to be enrolled manually by an admin or will need to enroll in an academic program that includes the class.

Class Description

A good description describes what the class is about. Teacher's assigned to this class will be able to edit the class description from the teacher dashboard.
