How to set up academic programs

Overview

An academic program is another enrollment option for students. Programs can be standalone or they can be used to bundle classes together. Unlike a class, a program doesn't have assigned teachers or meeting times and locations.


How to Create a Program

  1. Got to Enrollment -> Programs
  1. Click Add program
  1. Complete all required fields
  1. Click Create

Program Name

A name identifies the program and is shown to families and students in the portal.

Schedule

Select the academic schedule the program belongs to. The program will appear on that schedule and any registered students will be able to enroll into the program. Any classes bundled with the program will also have to belong to the same schedule.

Grade levels allowed

Select all the grade levels that can enroll into the program. Students without a matching grade level will not be able to enroll. Admins can override this restriction.

Seats

Enter the maximum number of students that can be enrolled. Once this number is reached, the program's status will change to full and will no longer let students enroll. Admins can override this restriction.

Program Description (recommended)

Enter a detailed description of what the program is about and any important details or information parents and students need to know about it. This is shown on the program description page in the parent portal.


Editing a Program

  1. Go to the program you want to edit
  1. Click Edit program
  1. Make changes
  1. Click Save changes

Publishing Programs

When a program is first created, it is created as a draft. This means only admins can see it. To make it visible to families in the parent portal, you need to publish the program.

To publish the program:

  1. Go to the program
  1. Click Actions -> Publish
  1. Click Publish

To publish multiple programs at once:

  1. Go to the list of programs
  1. Check the box next to each program you want to publish
  1. Click Bulk Actions -> Publish selected
  1. Click Publish

To undo publishing programs and return them to a draft status, use the Actions -> Unpublish and Bulk Actions -> Unpublish selected options.


Adding Classes

A primary reason for creating programs is to bundle classes. To do so, you'll need to add the classes that being to the program. Classes can span multiple grade levels. When a student enrolls into the program, they will automatically be enrolled in any included classes that match their same grade level.

To add classes:

  1. View the program
  1. Click on the Classes tab
  1. Click add classes
  1. Browse and search for classes and check the box next to whichever classes you want to add
  1. Click Add selected classes
