Overview
The balances page is where you can keep track of all outstanding student balances. Every time a student is charged enrollment or registration fees, those amounts are logged to their student balance.
This makes it easy to track the amount owed, paid, and remaining per student regardless of how many invoices are issued to collect payment. The student balance is your single source of truth as to what a student owes or has paid.
If a balance doesn't look correct, make sure you're charging the right fees on their enrollment balances and check that there are no unassigned payments for that student.
Viewing Balances
To view student balances go to Billing -> Balances.
Overview
The overview tab displays a list of all students and their balances. Students are filtered by enrolled, alumni and prospects using each respective tab.
Enrolled
These are students that are actively enrolled in a current schedule.
Alumni
These are students that have pas enrollment history. This can include both previous and active students.
Prospects
These are students who either never registered/enrolled or dropped completely out of the school. They are listed under balances because depending on your school's policy, sometimes dropped students are still responsible for outstanding fees.
Viewing Details
To view a detailed breakdown of the student's fees, you can click on a student's name.
Breakdown
The breakdown tab displays all enrollment records and each record's balance. This view is similar to a student balance's details page excepted that it will show all enrollments for all students.
Filters
The enrollments are filtered by current, past, all, and unpaid using their respective tabs.
Current
These are enrollment records belonging to any currently active schedules.
Past
These are enrollment records belonging to past schedules.
All
This will show all enrollments regardless of status.
Unpaid
This will only show enrollments that have outstanding balances.
Statuses
This is view is helpful in reviewing enrollments to make sure there are no un-billed enrollments. You can see the billing status of an enrollment records by the following statuses:
Invoiced
This means there is an existing invoice with a line item for this enrollment record.
Not invoiced
This means there are no invoices with this enrollment record as a line item.
Paid
This means the total balance due for the enrollment record has been paid in full.
Blank
This means that billing is not applicable because no fees are being charged for the enrollment record. This is a common case if classes are bundled into a program that includes the tuition costs.
