Overview
Volunteers are the individuals who sign up for activities and shifts. Volunteers can sign up for published activities and shifts directly from the portal. However, admins can also assign volunteers to activities and shifts.
How to Assign Volunteers
To assign a volunteer to an activity without shifts:
- Go to Hours -> Schedule
- View an activity
- Click Assign contact under attendance
- Search and select a contact to assign
- Optionally send an email notifying the contact that they've been scheduled by clicking Notify person
- Optionally require the contact to RSVP
- Click Assign
To assign a volunteer to a shift:
- Go to Hours -> Schedule and view an activity
- Click on a shift (or click on a shift by going to Hours -> Shifts)
- Click Assign contact under the Sign ups section
- Search and select a contact to assign
- Optionally send an email notifying the contact that they've been scheduled by clicking Notify person
- Optionally require the contact to RSVP
- Click Assign
Volunteer Attendance Statuses
When volunteers sign up for activities or shifts, their attendance is given a status. Below is a list of all available statuses and what they mean.
Scheduled
The volunteer was scheduled by an admin but they have not confirmed they will be attending by responding to the RSVP email.
Confirmed
The volunteer has confirmed they will be attending.
Canceled
The volunteer canceled after confirming.
Present
The volunteer was present and on time.
Tardy
The volunteer was present but late.
Excused
The volunteer wasn't present but was excused.
Absent
The volunteer never showed up.
Declined
The scheduled volunteer responded to the RSVP email and declined.
Viewing Volunteers
You can see all volunteers and what they are signed up for by going to Hours -> Volunteers.
You can export a .csv file of all volunteers by clicking Export Volunteers.
